1. Introduction: If the work load of a person increases then for him to do all work alone is very difficult. In that situation a person is appointed who works on behalf of that person and maintains all the secreats of a person. In olden days Kings and other Royal families used to keep such type of persons which were known as a ‘Secretary In present times politicians, actors, ministers, businessmen etc. for doing their important work person is appointed which is called as ‘Secretary’. Secretary does important correspondance on behalf of his master and maintain the important documents. He arranges the meeting with the important persons. In present times efficient secretary is very important for the success of any work.
2. What do you mean by Secretary? : In the ancient Roman Empire those who performed the work of correspondance on behalf of the king were called Scriba. The word secretary is derived from Latin word ‘Secretarious’ which means one who keeps secret details and observes correspondance. In ordinary term Secretary means such a person who does business correspondance. Gets the information and keep it secret. If required then provide information and does all the work alloted to him in present time not only in business but in all activities the requirement of secretary is essential. As per Oxford Dictionary, “A person who conduct correspondance on behalf of any person, society coroporation or any public institution keeps records and maintains any carry out different business transaction is appointed.” In short, secretary is such a person who keeps all the secret ]id does all administrative work.
3. Characteristics of a Secretary : The following qualification is necessary:
(1) Proper Qualification is necesary: Secretary must have the knowledge of computer as well as he must have awarness regarding various laws as he has to do correspondance of a company within the limits of company.
(2) Trustfull person: Secretary has to keep all the matters of the organization secret so for that, the person should be trustful.
(3) He is a Servant of a Company: Secretary has to do work which the manager assign to him like other employees of the business. Secretary is also given salary according to his posts that is why he is the servant or employee of a company.
(4) He don’t have his own authority: Secretary doesn’t have any of his own authority But whatever the work assigned to him for that authority is assigned to him.
(5) He does important administrative work: Secretary does the correspondance ofn behalf of his master. He frames the documents and does important documents and contracts are preserved by him.
(6) Only a living person can be appointed as Secretary : Any partnership firm, public company, cooperative firm, private company, cannot be appointed as Secretary Only a living person can be appointed as Secretary.
4. Conclusion: Secreatary does work on behalf of his master or his superior officer. He is aware from the important matters of the organisation. To maintain the secretes of the matters of organisation not only good qualification but also faithfulness is also expected from the secretary.
