Things to keep in mind when ordering letters:
(1) Reference: -The number and date of the reply letter received from the seller should be shown as reference.
(2) Quantity / Quality: - The quantity and quality of goods should be clearly indicated in the order form.
(3) Description: - The goods to be ordered should be fully described.
(4) Unit Price: - The unit price mentioned in the price list should be re-mentioned to make commercial transactions more explicit.
(5) Packing: -According to the quantity of goods, if convenient packing is required, it should be clarified. Suggestions can be made for perking that does not affect the environment and maintains the quality of the goods.
(6) Enclosure: -As per the condition of the seller of goods, if a certain amount is to be sent with the order, it should be stated that it is billed along with the check or draft letter.
(7) Carrying of goods: -If the seller of goods does not specify by which vehicle the goods will be sent, the customer should state whether the goods are to be sent by a suitable freight vehicle and whether the goods are to be reserved by insurance. It should also be clarified where the goods are to be unloaded or delivered.
(8) Details of goods: -In case of purchasing more than one item or goods of different brands in different packing or weight, it is considered appropriate to prepare the order form in the form of a table showing the complete details of the goods.
(9) Date of receipt of order: -The number of days after placing the order should be indicated. Special mention should be made if the goods are received later than the indicated date and will not be accepted.
(10) Expectation: - At the end of the letter, the customer should indicate that if the quality of the goods shipped is satisfactory, he will place a large order in the future. He should state that he is placing the order as the prices and conditions indicated in it are favorable.
